Data we process
The form collects your name, email and message. A social profile or channel is optional. The language, date and a random enquiry identifier are also stored. Only your name, email and message are required to submit the form; without them it cannot be sent. You can still browse the site or contact us directly by email.
For email correspondence, we process the sender’s address, message and any attachments you choose to send. Do not send passwords, payment details, health information or other sensitive information, or unnecessary data about other people.
Hosting infrastructure processes connection and security data such as IP address, browser information, requests and timestamps. The form database has no IP field. Unsubmitted drafts remain in page memory, apart from any features of your own browser.
Why we use it
Assessing and responding to a collaboration proposal and taking precontractual steps you request: GDPR Article 6(1)(b). For general enquiries or contacts on behalf of an organisation, the basis is the legitimate interest in managing professional correspondence, Article 6(1)(f).
Protecting the site and preventing abusive submissions: legitimate interest in service security and availability, Article 6(1)(f). The form uses field validation, a spam-trap field and a temporary submission limit per email. Where required, legal obligations rely on Article 6(1)(c), and necessary legal claims on Article 6(1)(f).
Submitting does not subscribe you to newsletters or advertising. Marketing consent is not required to receive a response to your enquiry.
Who can access it
The controller reviews enquiries through a private management area; they are not published. OpenAI Ireland Ltd provides ChatGPT Sites hosting, using Cloudflare infrastructure and a D1 database. OpenAI processes hosted data on the controller’s behalf under the Sites-specific DPA.
Email correspondence uses Gmail (Google); form submissions do not automatically generate an email. Instagram links open an external service with its own privacy notice. Authorised technical support or advisers may access data only as needed for their assignment; authorities receive data where legally required. Enquiry data is not sold or made public.
Services and international transfers
Hosting and email may involve processing outside the European Economic Area, including the United States. The Sites DPA provides for adequacy decisions or standard contractual clauses for relevant transfers. Google describes its transfer mechanisms in the documents linked below. Exclusively European storage is not guaranteed.
Consult the provider documents on this page or contact the controller for more information or a copy of applicable safeguards, subject to lawful limitations.
How long we keep it
Enquiries and related correspondence are kept for the time needed to assess them, respond and conduct the discussions you request. The criterion is the actual duration of the enquiry: when discussions end and data is no longer needed, it must be deleted. If a collaboration starts, only data needed for that relationship and associated obligations is retained.
Further retention is limited to data necessary for specific legal obligations or establishing, exercising or defending legal claims, for the relevant obligation or dispute. Deletion is managed by the controller; the form does not have automatic expiry. Provider cycles also apply to technical records and backups; instant erasure from every backup is not promised. You can ask about your enquiry using the email above.
Your rights
You may request access, rectification, erasure or restriction and, where applicable, data portability. You may object to processing based on legitimate interests for reasons relating to your situation. If a future processing activity relies on consent, you can withdraw it without affecting earlier lawful processing.
Email the controller; you may use “Privacy” as the subject. Responses are normally provided within one month. Complex requests may require an additional two months, with reasons communicated within the first month. To protect your data, only information necessary to verify your identity may be requested.
You may complain to the Italian Garante per la protezione dei dati personali (garanteprivacy.it) or a competent supervisory authority, particularly in the EU country where you habitually live, work or consider an infringement occurred. You do not have to contact us first.
No automated decisions
Enquiries are not used for advertising profiling or solely automated decisions with legal or similarly significant effects. Collaboration proposals are assessed by a person. If your browser supports an assistant for completing the form, it may prepare a draft; sending it still requires your explicit action.
This notice covers the site and enquiries, not the agreements for a future collaboration. If processing changes, this notice will be updated and the necessary information and controls provided before new processing begins.
